Utilities Service, LLC Administrative Assistant in Batesville, Indiana

We are currently seeking an Administrative Assistant to join our team.

Essential Duties

  • Maintains and supports all office functions ensuring facility paper flow and documentation is complete and accurate.

  • Capable of keeping confidential information private. Will handle inquires, work request and employee personnel information.

  • Duties will include but are not limited to managing incoming/outgoing calls, sort and distribute incoming Mail, Email, Messages, Fed ex and Fax.

  • All calls must be answered, directed, and messages distributed in a professional manner.

  • Perform secretarial duties for HR team; including but not limited to typing documents, assembling employee binders, filing, data entry, photocopying, mailing, scanning and faxing

  • Reacts to change productively and capable of meeting short deadlines.

  • Creates a behavior and conduct that maintains a positive work atmosphere by acting and communicating in a manner to get along with customers, vendors, co-workers and management

  • Ability to work in a variety of situations.

  • Maintain a professional work area. (Conference room, front desk, waiting area and supply areas)

  • Assignments, projects, and daily work will be carried out in accordance with the instructions that are established through office practices, procedures, and precedents.

  • Provides support and assistance to help the facility and personnel function in a team environment.

  • Performs other duties as assigned by Region Manager, Office Manager or Supervisors.

Minimum Requirements

  • Excellent verbal and written communication skills.

  • Must have endurance necessary to perform duties throughout a standard 40 hour work week.

  • Able to remain calm during chaotic and stressful periods

  • High school diploma or equivalent and a minimum of 2 years’ experience in an administrative position.

  • Excellent Adobe, Microsoft Word, Excel, Power Point, and Outlook skills

  • Good conflict resolution skills

  • Able to pay close attention to details and identify/correct mistakes

  • Excellent skills interacting with other staff members, outside representatives, and customers

  • Must possess good planning, analysis, and organizing skills.

  • Manages time effectively, and able to work in a fast paced environment.

  • Commitment to teamwork through relationship building, reliability and collaboration.

  • Capable of performing repetitive tasks.

  • Must pass pre- employment drug screening, MVR, and Background screening.

  • Must have reliable transportation to and from work.
